Managing Your Subscription

Manage your Navigatr subscription. View usage, update billing, share referral codes, change currency, or cancel from the Subscription menu.

Manage your provider or community subscription from the Subscription option in the admin menu. Inside the Subscription section you’ll find several tabs that let you monitor and control your plan, billing, referrals, and add-ons.


Plans available

Navigatr offers a small set of subscription plans. The plan you can see on your Usage tab depends on whether you’re a provider or a community:

  • Launch: Entry-level provider plan. Includes a 14-day free trial so you can try Navigatr before paying.

  • Professional: Full provider plan. Includes Members and Analytics tools, additional admin seats, and access to most provider add-ons.

  • Community: For organisations that host multiple providers under a single umbrella, with access to community-level analytics and provider management.

  • Funded by Community and Special Agreement: Managed plans set up by the Navigatr team. You can’t self-select these. Some Special Agreement plans don’t allow add-on purchases.

Usage tab

The Usage tab is the main view of your subscription. From here you can:

  • See your current plan, renewal date, and the seats and limits included.

  • Upgrade your plan if you need more capacity or features.

  • Buy additional admin seats and any add-ons your plan is eligible for. The Usage tab lists every add-on available to your subscription so you don’t have to look elsewhere.

Typical provider add-ons include Job Feed (live job listings on your pathways), Surveys (impact measurement), and extra admin seats. Typical community add-ons include Analytics, Members, Extra Provider Admin, Extra Provider, and extra admin seats.

If you’re on a free trial, a banner at the top of the page shows how many days you have left.

Important note: Add your billing details in the Billing Info tab before your trial ends. If your billing details aren’t complete when the trial finishes, your subscription will expire and your provider or community will be suspended.

When your trial has fewer than five days left, a Request Trial Extension button appears under your plan card. Clicking it sends a request to the Navigatr team; extensions are granted at our discretion.

Once your trial ends and your billing details are complete, your subscription is activated automatically and we’ll email you your first invoice. Billing info tab

The Billing Info tab is where you add and update the details we use to invoice you. Four fields are required: organisation name, billing address, billing email, and a phone number. Until all four are saved, your subscription can’t activate when your trial ends.


Referrals tab

The Referrals tab gives you a unique referral code and join link to share with other organisations:

  • Provider referral codes track who signs up using your link. If you’d like to discuss a referral discount for an organisation you’ve referred, our team reviews this case-by-case.

  • Community referral codes let new providers nest directly inside your community when they sign up.

Referral discounts aren’t applied automatically. To talk through eligibility, email [email protected].


Additional options

Open the More Options menu (the three-dot icon in the Subscription section) for the following actions:

  • Cancel Trial or Cancel Subscription: A single menu item that’s labelled Cancel Trial while you’re on a trial and Cancel Subscription once you’re active. You’ll be asked for a reason. Cancelling doesn’t immediately end your access: your subscription keeps working until your renewal date or trial end date, and then expires.

  • Change Currency: Switch between British Pound (GBP) and US Dollar (USD). Changing currency re-prices your subscription using our pre-set price in the new currency. It’s not a live exchange-rate conversion. If you need invoices in EUR or another currency, contact support.

  • Contact Us: Open a conversation with the Navigatr support team for anything subscription-related.


Cancelling and reactivating

Cancelled isn’t the same as expired. When you cancel, your subscription or trial keeps working until your renewal date or trial end date. Up until that point, you can change your mind: a Reactivate button (you’ll see it in a "Missed us already?" card on the Subscription page) restores your previous status, whether that was Active or Trial.

When you cancel, we’ll email you a confirmation that includes a short snapshot of your stats, an exit-survey link, and a Book-a-Call button if you’d like to talk through your options before your access ends.

In the last few days of a trial, our reminder emails include personalised stats and a Check if you qualify button. This books a call with us to discuss eligibility for charity, education, or nonprofit pricing. Discounts aren’t applied automatically.


Renewing your subscription

Subscriptions can be renewed in two situations:

  • In the last 30 days of your current term, before it ends.

  • Any time after your subscription has expired, which also re-activates your suspended provider or community.

Renewing carries forward your plan, currency, billing details, every add-on you’ve purchased, and your seat limits onto a new subscription term.
