Issuing Badges for Activity Attendance

Learn how to issue badges automatically to activity attendees in Navigatr. Follow this guide to recognise participation in events and workshops.

You can issue badges to attendees of activities directly in Navigatr. This works well for events, workshops, and similar activities, whether in person or online.

  1. Log in to Navigatr

  2. Go to Activities

    • From the admin dashboard, navigate to Content > Activities.

  3. Select the Activity

    • Click on the activity for which you want to issue badges.

  4. Open the Attendees Tab

    • Go to the Attendees section of the activity.

  5. Issue badges to attendees

    • For each attendee who took part, click the Issue Badge button on their row to mark them Attended. The badge is issued automatically the moment you do this.

    • As an alternative, you can scan attendees in via QR code or library card from the Check-in page (Activities > activity > Check-in). The Check-in page is only available while the activity is published; if the activity hasn’t been published yet, you’ll see a message that check-in is only available when the activity is running.

Share your activity

Share the activity link with your potential recipients and encourage them to RSVP and mark themselves as attending. This streamlines event management and ensures attendees receive their badge at the end.


Automated reminders

Anyone who registered to attend gets two automatic reminders: one 24 hours before the activity and one 1 hour before. The 1-hour email links straight to Get Directions for in-person activities or Join Online for online activities.


Troubleshooting

If you see "Activity attendance captured but badge issuance failed" when marking someone Attended, the linked badge has either expired or been deleted. The attendance is still on record: fix or replace the badge, then re-issue from the recipients tab.

If you remove an attendee from the Attendees tab, only the activity registration is deleted. The badge they earned is not revoked automatically: to take that back, go to the badge’s Recipients tab and revoke it from there.

Activities are an effective way to manage in-person or online events while also recognising attendees' participation with a badge. This method simplifies badge issuing and creates engagement through attendance tracking.
